1 Introduction

Amrop Norway is normally responsible for the processing of personal data we have registered and which we process in connection with the assignments that we undertake. In a few cases, we process personal data on behalf of our clients, but in principle your personal data is processed in the same way in both cases. If we are the data processor, we will inform you of this, in which case our client will be the data controller. We will be able to inform you of the contact person at the client that you may contact to request information about how your personal data will be processed.

This privacy statement provides information about how we process your personal data and your rights in that respect.


2 Which personal data we may hold concerning you

Personal data is information that can be linked to you as an individual. The typical personal data that we register about you is: name, age, gender, nationality, residential address, email address and telephone number, CV, reference checks and internal assessments. Health details will only be processed if this is relevant for the project. If background checks, tests, interviews and similar are relevant, this will be based on your consent, which you may withdraw at any time.


3 What personal data is used for

The key purposes for which personal data is used are specified below. The legal basis is that the processing is necessary to fulfil the agreement with you, that you have consented to the data processing, or that we have a justified interest in the data processing, which then supersedes any infringement of your data privacy.

We need your personal data in order to contact you and to conduct leadership advisory- or recruitment processes, whether you are applying for and/or wish to show an interest in future processes.


4 Who we share personal data with

As a candidate for a specific position, we must during the recruitment process share your personal data with our client. In a leadership advisory process, we might need to share our analysis of your potential with your employer.

If you are a general candidate, it is necessary for us to share your CV details with potential employers. If you require us to show particular discretion towards certain companies, we will secure this. As part of an international recruitment agency, we will also share CV details with our cooperating Amrop companies abroad, if we believe that this is relevant for you as a candidate.

We use data processors who assist us with various processes, in particular concerning the operation of IT systems.  We have data processing agreements with these data processors, to ensure the processing of personal data and protection of your data privacy in accordance with applicable legislation.

5 Geographical storage of personal data

In some cases, personal data will be stored in countries outside the EU, through our subcontractors. We have data processing agreements with them, to ensure the processing of personal data and protection of your data privacy in accordance with applicable legislation. You can at any time contact us to for information about our subcontractors.


6 How long we store your personal data

We store your personal data for as short a time as possible during specific application- or leadership advisory processes, and otherwise only by agreement with you. When we process your personal data with your consent, you may withdraw your consent at any time and your personal data will be deleted.

When you apply for a position via us, we will store your application with CV and other attachments for up to six months after the process has been completed.

If you consent to our storage of your CV and other personal data for future job opportunities or positions, we will store your data for five years. You may request your personal data to be deleted at any time.

We must also respect any statutory storage requirements and when a particular need arises, for example in the event of complaints or claims directed at us or by us.


7 Your rights

The data protection regulations give you a number of rights related to your personal data. Even though this privacy statement provides a lot of information, you may request more detailed information about how we process information about you, and you have the right to access your personal data. Where our processing of your personal data is based on your consent, you can withdraw this consent at any time, in which case the data will be erased. If your personal data is incorrect, you have the right to rectification of the data. You may request that we restrict the use of your data. You have the right to data portability and to request that your personal data be transferred to you or to another company in a structured, generally used, and machine-readable format. You may object to our use of your data. If you believe that we are processing your personal data without legal justification, you may also appeal to the Norwegian Data Protection Agency, but we ask you to contact us, so that we can consider your objections and also clear up any misunderstandings. The privacy policy has comprehensive provisions concerning the aforementioned and certain exemptions from individual rights may apply. If you wish to make use of the rights, please contact us using the contact data below, and we will respond to your enquiry as soon as possible, and normally within 30 days.
